REQUIREMENTS
- You need to have a functional translator account at XTRF, with approved rates
- You need to have your Phrase credentials (username and password). To find out how to get them, click here.
- You need to have received a job offer – that is, you need to have received an email with “New Request” in the title offering a job for you to either accept or reject.
WHAT TO DO WHEN OFFERED A PROJECT
When you receive a New Request email notification sent by our XTRF translation management system, you can decide whether you want to accept the job. By clicking the Open Job Manager link in the email, you will be redirected to your Vendor Portal account. On the Job Offers tab in the portal, you will see the details of the job offer – the word count, analysis, deadline (if given), and amount of payment.
WHAT TO DO IF A JOB OFFER DOES NOT INCLUDE A DEADLINE
In some cases, the jobs offer on the Job Offers page does not include a deadline. However, if accepting the job offer, you should of course begin work on the job as soon as possible. It is a good idea to first look through the whole project, and based on the length and difficulty of the texts make an estimate of how long it is likely to take to complete.
If you are unsure as to whether the customer will be happy with your estimate, please contact our project managers.
There are two steps in accepting a job via XTRF, and two steps in returning it.
ACCEPTING A JOB OFFER: STEP 1
When you’ve received a job offer and looked at the source file in XTRF to decide whether you want the job, press either the Accept or the Reject button. If you accepted the job offer, you will be able to access the Phrase file only after receiving the confirmation email. If you do not receive a confirmation email despite pressing Accept, the most likely reason is that another person to whom the job was offered picked it up just before you. In other words,
if you do not receive a confirmation email, the job has not been assigned to you.
If the notification shown in the image below appears when you click on the Job Manager link (while not logged into XTRF), the job has already been taken by another vendor.
If a job you attempted to accept in the XTRF vendor portal is successfully assigned to you, the job offer will automatically disappear from the Job Offers tab and the job will appear in the Jobs tab. In all cases, if you intend to work on a job offline outside of Phrase you should of course first check to make sure the job has been assigned to you.
ACCEPTING A JOB: STEP 2
After accepting the job offer in the XTRF vendor portal, you still need to accept the job in Phrase. In the Vendor Portal job page, click on the Open in Phrase link, and then enter your Phrase username and password. (If you do not have your Phrase user credentials, see this article.) This will take you to the Phrase project page, where you must click Accept in order to access the CAT editor and start working on the text.

Please note that all jobs that Transfluent offers must be done in Phrase. We will not accept any separately delivered target file unless explicitly agreed upon by the project manager prior to starting the work.
COMPLETING A JOB: STEP 1
After you have finished your work on the text in the Phrase CAT editor screen, first press Complete (see image below). This concludes your work on the job in Phrase, but it does not fully complete your delivery of the job.
Step 1 -Set the job completed at Phrase
COMPLETING A JOB: STEP 2
To complete the delivery of your work, you need to return to the job page in the XTRF vendor portal and click on “I finished the job”, and then confirm this by clicking “Yes, this job is completed”.Failing to complete both of these steps will possibly result in the job being delivered late.
Step 2 - Complete the return of the job in the Vendor Portal by clicking on ‘I Finished the Job’. (Or, if you have completed only part of the job, click on ‘I Completed Part of the Job’)
